Summary of the Role

Aerosafe Africa is a KCAA-approved aviation training organisation based at Wilson Airport, Nairobi. We deliver training in flight operations/flight dispatch, crew resource management, dangerous goods, aviation security, and more. Our clients across Africa include individuals and organisations such as the UN and NGOs, airlines, maintenance organisations, and ground handlers.

We are looking for an Operations Intern to support the day-to-day running of our Training Department.


What You Will Do

Training Day Preparation and Delivery Support

  • Set up classrooms before each training session including equipment, facilities, and materials.
  • Assist instructors with the necessary materials for the class and with technical setup.
  • Print and distribute course materials to all classes.
  • Call students and client organisations to confirm attendance before training days; follow up on late arrivals.
  • Call instructors to confirm availability and readiness.
  • Coordinate refreshments for training days, whenever necessary.
  • Receive walk-in visitors, telephone calls, and general enquiries; route them appropriately.

Records and Certificate Support

  • Collect signed attendance sheets, completed course questionnaires, assessments, and all other course documents at the end of each training day.
  • Assist with processing and distributing certificates and course completion documents as directed.
  • Scan and file course records into SharePoint and physical records.
  • Update training trackers and statistics as directed.
  • Support the Head of Training and Operations Officer in updating and maintaining documentation.

Administrative and Operational Support

  • Assist with sending the training calendar to clients and following up on registrations.
  • Deliver documents to external bodies including KCAA, NITA, IATA, and others as directed.
  • Manage incoming and outgoing mail and courier deliveries.
  • Assist with opening and closing of the office.
  • Support the Head of Training and Operations Officer with any other operational and logistical tasks as required.

What You Should Have

  • Recently completed a diploma or degree in Education, Business Administration, Office Management, or a related field.
  • Certifications in office productivity apps (such as Microsoft Word, Excel, Outlook, etc.).
  • Experience with data entry, graphic design, and a typing speed of 55wpm or above is a plus.
  • Experience managing digital filing systems is a plus.
  • Fluent English — professional verbal and written communication in English is a must.
  • Flexibility on working hours (shift work and weekends may be required).
